Nobody here knows what is actually going on.
You have good people doing good work on top of a system that quietly died about two years ago. The information exists. It is just scattered across twelve places, and exactly one person knows where.
- Every update starts with a phone call
- Status lives in a spreadsheet, a chat thread and somebody's head. To find out where a job stands, you interrupt three people.
- You already tried a tool
- Somebody set up Notion, Asana or a CRM one enthusiastic weekend. Nobody kept it current. The team drifted back to Excel and nobody said anything.
- One person is a single point of failure
- When the one who knows how everything works takes a holiday, the company slows down. That is not a system. That is a hostage situation.
One system, shaped around how you already work.
We start with whichever piece is hurting most, then connect the rest around it.
Your core business system
Start hereOne workspace where projects, clients, tasks, documents and deadlines actually live. Built around how your company already works, not a generic template we sell to everyone.
- Projects and deadlines in one view
- Client and contact records
- Documents where the work is
- Dashboards for you, simple views for the team
Project & delivery tracking
Most popularFor companies that sell projects: objects, installations, sites, campaigns. See every job, its stage, who owns it and what is late, without asking anybody.
- Every job with a clear stage and owner
- Deadlines and handoffs that are visible
- Site, object or campaign records
- Templates so every job starts the same way
Sales pipeline & CRM
A pipeline your team will actually update, because it takes seconds and lives next to the work. Know what is in progress, what stalled and what is coming.
- Leads and deals in visible stages
- Follow-up reminders that fire
- Quotes and offers linked to the client
- Simple sales reporting for the owner
Escape from spreadsheets
We move your existing data across, clients and projects and history alike, and structure it properly. Your team starts on day one with real information, not an empty workspace.
- Data migrated from Excel and Google Sheets
- Cleaned and structured, not just pasted
- Old files still accessible
- Team training in your language
Automations & integrations
Connect the system to the tools around it so information moves by itself. Forms, email, calendars, invoicing. The repetitive updates stop being someone's job.
- Web forms straight into the system
- Email and calendar connected
- Automatic status updates and reminders
- Links to your accounting tools
Care retainer
Every monthThe part freelancers skip. We keep the system current as your business changes, answer your team's questions, and improve one thing every month.
- Changes and improvements included
- Direct support for your team
- A named person who knows your setup
- Cancel any month. The system stays yours
Project-based companies, 5 to 50 people.
If your work arrives as jobs, objects, sites or clients, the shape of the problem is the same, even when the industry is not.
- Real estate & developers
- Design & creative studios
- Solar & installation
- Security companies
- Construction & contractors
- Professional services
From first call to a system your team uses.
We do not sell six-month transformation projects. We build the smallest system that makes your week easier, get your team using it immediately, then improve it every month while it runs.
- 01
You price it yourself
2 minutesYou tell us how work moves through your company today and where it hurts. We tell you honestly whether we can help. If a cheaper or simpler answer exists, we will point at it.
- 02
We map your business
1-2 days, up to a weekA short working session with you and one or two people who do the actual work. A simple business is mapped in a day or two; a larger or more tangled one can take the better part of a week. We map your real process, not the one in the handbook, and agree what the system must do.
- 03
We build it
3 days to 3 weeksWe build the working system and migrate your existing data into it. A small, focused build lands in a few days; a full multi-area system with a heavy data migration can take up to three weeks. You see progress early and tell us what is wrong while it is still cheap to change.
- 04
Your team starts using it
Once it's builtTraining in English, Latvian or Russian, plus a short recorded walkthrough for anyone who joins later. We stay close during the first weeks, when habits are formed.
- 05
We keep it running
Every month afterYour business changes, so the system changes with it. Improvements, questions and fixes are covered by the retainer. Stop any month and the workspace stays yours.
What is the admin actually costing you?
Estimate what your team spends chasing information. This is the same arithmetic we do on the call. We would rather you see it first.

We charge 22% of what we recover. You keep the rest. The build pays for itself in 2 months.
An estimate, not a quote. It assumes a good system removes roughly 70% of time lost to chasing and re-entering information, which is typical but never guaranteed. Your real number comes out of the free call.
Check this on a free callPublished prices, because hiding them helps nobody.
Look at what the manual version costs you every month, then look at these. The fix is a fraction of the problem. That is the whole pitch, and it is why we are comfortable printing the numbers.

Things people ask us first.
Why Notion and not something else?
Because for a 5–50 person company it replaces four or five separate tools at a fraction of the cost, and it can be shaped around your process instead of forcing you into someone else's. If your situation genuinely calls for a different tool, we will say so on the first call. We would rather lose the project than sell you the wrong thing.
We already tried Notion and gave up. Why would this be different?
That is the single most common thing we hear, and it is almost never a Notion problem. Workspaces get abandoned because they are built by an enthusiast in their spare time, never finished, and never maintained. We build it properly in a week, train your team, and then keep it current every month. That is the part that was missing.
How long does it really take?
Anywhere from about a week to five or six, depending on the size of the job. Mapping your process takes a day or two for a simple business and up to a week for a larger one; the build itself runs from a few days to three weeks depending on scope and how much data has to move. We tell you which end of that range you are on before you commit.
What happens to our data?
It lives in your own workspace, on your account, under your control. We work as guests inside it. We sign an NDA and a data processing agreement as standard, and everything follows GDPR by default rather than on request.
What if we stop the monthly retainer?
The workspace is yours and it keeps working. You lose our ongoing support and improvements, not your system or your data. There is no lock-in and no exit fee. A retainer you can leave is the only one worth selling.
Are we too small for this?
If you are under five people and one spreadsheet still covers everything, honestly, stay where you are. The point where this pays back is usually around five to ten people, several projects running at once, and information starting to get lost between them.
Which languages do you work in?
English, Latvian and Russian, including training sessions and documentation, so your whole team can use the system in the language they think in.
Good systems, priced for companies that are not enterprises.
There is an awkward gap in this market. Freelancers will build you something for a low price and disappear the day it is delivered, which is exactly when the real questions start. Consultancies will stay, but they arrive with day rates and six-month timelines that a 20-person company cannot justify. So most businesses do neither, and carry on with spreadsheets and chat threads. That is the most expensive option of all, just paid in hours instead of invoices.
Artomate exists to sit in that gap. We build a working system in about a week for a small team, longer for a bigger or more complex one, for a fixed price you agree in advance, and then stay on a flat monthly fee to keep it useful as your business changes.
We are based in Rīga and we work with the kind of companies that actually make up this economy: real estate, design studios, installers, contractors, security firms, professional services. Companies with 5 to 50 people doing project work, who are very good at their job and quietly frustrated by their own admin.
Rīga, Latvia · We work in English, Latvian and Russian.
What would you do with a clear picture of your business?
Thirty minutes, no pitch deck, no obligation. Tell us how work moves through your company and we will tell you honestly what we would build, or whether you need us at all.
